- Schedule: Days, Monday-Friday

Education Administrative Assistant Position Purpose:

This position administers the admissions and discharges processes as well as providing day to day clerical support for teachers, teachers’ assistants, and principal, in the New Vistas and Jefferson Hills Academy education programs. Responsibilities include:

  • Facilitates admissions process for new students including the following tasks:
    • Enters information into confidential databases/records management system
    • Locates and records student’s school district, grade level, special education needs, etc.
    • Sends admission letter and notification of placement and request for IEP to home school district
    • Creates and maintains electronic education file on the that will contain

  • Tracks, records and reports attendance electronically on a daily and monthly basis including sending accurate information for billing purposes.

  • Maintains headcount records, including updating billing. 

  • Facilitates discharge process for students leaving Jefferson Hills programs.

  • Processes all documents in various databases including getting appropriate approvals as needed. Ensures student files are accurate and comply with all relevant guidelines, rules or laws 

  • Must be willing and able to perform physical restraints with clients using required CPI techniques

Education/Qualifications/Skills:

  • High school diploma or GED required

  • Minimum 2 years related experience in an administrative support role, preferably in an education/treatment setting 

  • Excellent organizational skills

  • Demonstrated ability to manage multiple tasks and meeting deadlines 

  • Computer skills including WORD, Excel, managing databases and spreadsheets

  • Able to communicate effectively, both verbally and in writing in a confidential manner with a variety of stakeholders
