 Business Office Assistant Position Purpose:

 The Business Office Assistant provides support to the Accounting, Finance, Human Resources, and Training staff in all aspects of Jefferson Hills’ business operations. Responsibilities of the Business Office Assistant may include but are not limited to medical billing, accounts receivable/collections, maintaining and reporting statistical data, and assistance with regulatory compliance. Responsibilities include:

  •  Assists the CFO and Controller in implementing and administering finance and accounting policies and procedures.

  • Assists with all billing functions to ensure compliance and accuracy of Medicaid and other billing platforms including collections, reporting, and corporate compliance policies.

  • Assists with monthly billing and financial reconciliations

  • Assists Human Resources staff with auditing personnel files and training files for regulatory compliance, and provides support in following up with the collection of paperwork and data entry into various HR and Training database system. Files and stores documents according to company policy and other requirements.

  • Assists in coordination of computer/information technology functions of the accounting department and the organization as a whole with the IT department of the parent organization and external computer contractors.

  • Provides safekeeping and tracking of laptop and cell phone resources for the agency.

  • Maintains the “census” Excel data spreadsheets, and generates statistics for managerial purposes; provides input on process improvement for census spreadsheets.

  • Assists the Executive Assistant with the maintenance of the Human Resources and Business Office sections of the Jefferson Hills Intranet.

  • Cross trained on payroll process procedures and serves as one of the backup staff for the processing of payroll in the absence of the Payroll Coordinator.

  • Provides or ensures timely, accurate completion of other reporting to the CFO and management.

Education/Qualifications:

  • Minimum two years of college and at least two years of experience as an office assistant, database manager, accounting clerk, business office assistant, or similar office experience.

  • Medicaid and commercial insurance billing experience strongly preferred.

  • Advanced computer knowledge and proficiency in MS Excel or comparable complex spreadsheet software, productivity software; Ceridian, Solomon, and/or medical billing experience a plus.

  • Proficiency in both manual and electronic billing for complex accounts receivable billing, reconciliation, and collections, preferred. Prior experience billing Medicaid and commercial insurance will be given extra consideration.

  • Ability to apply skills and critical thinking to the gathering and reporting of statistical data
