Assistant Program Manager Position Purpose:

The Assistant Program Manager coordinates administrative duties in general for the smooth functioning of programs at the Aurora-based Staff Secure Residential program. Responsibilities Include:

  • Manages all scheduling for each residential unit, as well as the CSU unit. Ensures that staffing is compliant with required ratios.
  • Completes and signs off on bi-weekly payroll for all milieu staff. Inputs any PTO for clinical staff.
  • Helps maintain supervision of milieu staff by being visible on the units, completing training and follow-up with staff when necessary.
  • Completes supervision/corrective action notes when requested by the Program Manager.
  • Completes monthly petty cash spreadsheet, including obtaining receipts, logging receipts and following up on any outstanding cash/receipts for both program and clinical.
  • Reviews all level observation sheets for accuracy.
  • Reviews, follows up on, and completes all physical management forms. Ensures their accuracy and completeness for Program Manager review and approval.
  • Enters all critical incident reports into appropriate database.
  • Maintains stock and copies of Intake Paperwork for milieu staff.
  • Meets for weekly Supervisor meetings, takes, maintains and distributes meeting notes
  • Completes monthly clinical/program audit from Medical Records.
  • Onboards new hires including providing keys, training on clock in/out process, and orientation training packets
  • Ensures all program staff are current with required training.
  • Must be willing and able to perform physical restraints with clients using required CPI techniques.

Minimum Required Education, Knowledge, Skills, & Experience:

  • Bachelor’s Degree and 2 years’ experience in a residential treatment facility. Related experience may be substituted for formal education.
  • Proficient knowledge of MS Excel, Word or comparable software intermediate skills; general computer knowledge & skills.
  • Comfortable in a fast paced environment with demonstrated ability to multi-task and manage conflicting priorities
  • Self-motivated, organized, dependable and discreet. 
  • Excellent verbal and written communication skills.
